How Do I Create A Calendar Based Accrual Policy?

  1. Log into TimeForce as a user with administrative rights.
  2. Click on the main "Admin" navigation tab, and then on the Accrual Policy link located under the Policies section of the screen.
  3. Under the section labeled Create an Accruing (Calendar Based) Accrual Policy, click on the [ADD CALENDAR BASED ACCRUAL POLICY] icon.
  4. Enter a name for the absence code (such as Vacation or Sick).
  5. Select how often the accrued hours should be awarded to the employee record. Make the desired selection from the drop-down menu, and enter the date into the "mm/dd" field, if applicable.
  6. Select whether you want the employee's accrued hours to roll over on the anniversary of their hire date, or on a specified yearly date. If you select a specified yearly date, enter the date that the accruals are to roll over. Rollover settings will be specified in a later step.
  7. Enter a value for the length of the probation period. Select day(s), month(s) or year(s) according to the amount of time needed.
    Example:
    An employee must work for the company for 90 days before they are eligible to use accrued time off. "90" would be entered into the field labeled After, and "day(s)" would be selected from the drop-down menu.
  8. Click on the [ADD LENGTH OF SERVICE MILESTONE] icon.
  9. Enter when the accrual milestone should begin.
    Example:
    If an employee does not receive any accrued time off during their first year of employment, "1 year" would be entered. If the employee begins to accrue hours immediately upon hire, "0 day(s)" would be entered.
  10. Enter the number of hours that employees assigned to this policy are to receive, and select the rate at which they are to receive them from the drop-down menu.
  11. Select whether or not there is a "cap," or a  maximum number of hours that any one employee can accrue. If yes, enter the maximum in the provided field.
  12. Select whether or not accrued time off can be carried over at the end of the year. If yes, select whether or not there is a maximum number of hours that can be carried over. If yes, enter the maximum number of hours.
  13. Select whether or not there is a maximum number of accrual hours that the employee can bank. If yes, enter the maximum number of hours.
  14. If no maximum has been specified, select whether or not negative hours are to be rolled over.
  15. If employees are required to have worked a minimum number of hours the previous year in order to be eligible for this accrual (based on the accrual award date), enter the minimum number of required hours into the provided field.
  16. Select whether or not you would like banked hours to expire after a period of time. If yes, specify the number of days after the rollover date that the hours will be available before expiration.
  17. The fifth setting on this screen allows you to specify that employees must reach a required number of hours worked per month/year in order to receive accruals. Select "Month" or "Year" from the drop-down menu, and specify the desired number of required hours. Select whether "Holidays" and "Approved Paid Absences" should be included in this hours total.
  18. Click on the [FINISH/SAVE] icon to add the Length of Service Milestone. Multiple milestones can be entered for each accrual policy.
  19. Click on the [FINISH/SAVE] icon to save the accrual policy.
